The Operations Coordinator is responsible for overseeing the recruitment, onboarding, coordination, and ongoing management of freelance interpreters to support the effective delivery of interpretation services. This role manages client requests and interpreter assignments while working closely with internal teams, interpreters, and clients to ensure services are properly staffed, scheduled, and completed accurately, efficiently, and on time.
The Coordinator is responsible for the tracking of the assignments through their full lifecycle, maintaining accurate records, and communicating updates, changes, or issues as they arise.
In addition to prescheduled services, the position will provide support for on‑demand interpretation operations and assists with interpreter recruitment and onboarding when needed.
This role requires strong organizational skills, attention to detail, and effective communication to manage multiple requests while upholding service quality and client satisfaction.
Responsibilities:
- Assist with the recruitment, onboarding, and ongoing management of interpreters.
- Maintain and expand the client’s network of qualified and vetted interpreters.
- Receive, enter, and manage client interpretation requests within the scheduling system.
- Ensure assignment details are accurate, complete, and contain all information necessary for successful coordination, service delivery, and billing.
- Coordinate and assign interpreters to prescheduled appointments and source additional interpreters as needed to ensure coverage.
- Communicate assignment confirmations, updates, changes, and cancellations with clients and interpreters in a timely and professional manner.
- Monitor active assignments to ensure appropriate coverage, service quality, and timely completion.
- Address and resolve client and interpreter issues promptly, professionally, and in accordance with company procedures.
- Obtain, review, and process post-assignment documentation to ensure accurate job closure and billing support.
- Support on-demand interpretation services, including interpreter coordination and basic operational troubleshooting.
- Assist the Operations Manager with additional operational, administrative, and human resources-related projects as needed.
Requisitos
Requirements:
- Bachelor’s degree in a related field preferred
- 2+ years of experience in project coordination, scheduling, customer service, or a related role
- Ability to learn and work with scheduling or database software
- Strong organizational, communication, and problem‑solving skills
- Attention to detail and ability to manage multiple tasks in a fast‑paced environment
- Strong attention to detail and ability to meet tight deadlines.
