About the Role
We are looking for an experienced Interpreting Operations Coordinator to join our Interpreting Department and provide operational support to the senior operations team.
The ideal candidate has previous experience in the language services industry, particularly in interpreting coordination, interpreter scheduling, project management, or interpreting operations. This is a hands-on role that requires strong organizational skills, attention to detail, excellent communication, and the ability to independently manage multiple assignments and changing priorities.
You will be responsible for coordinating interpreting assignments, sourcing and communicating with interpreters, maintaining accurate scheduling and documentation, reviewing invoices, and proactively addressing coverage and operational issues.
Key Responsibilities
- Coordinate interpreting assignments across multiple clients and projects.
- Identify and assign qualified interpreters based on language, location, availability, credentials, experience, modality, and client-specific requirements.
- Recruit and source new interpreters, particularly for hard-to-fill languages, geographic areas, and specialized assignments.
- Maintain regular communication with interpreters regarding availability, assignment details, confirmations, changes, documentation, and project requirements.
- Maintain accurate interpreter profiles, assignments, notes, documentation, and scheduling information within the scheduling platform.
- Monitor upcoming assignments and proactively identify potential coverage issues.
- Support senior team members with high-volume, complex, urgent, and specialized interpreting requests.
- Assist with interpreter onboarding and ensure all required documentation is collected and maintained.
- Review interpreter invoices and supporting documentation for accuracy and completeness.
- Follow up with interpreters regarding missing invoices, timesheets, verification of services, or other required documentation.
- Maintain accurate project and assignment records to support invoicing, reporting, and overall operational efficiency.
- Handle last-minute cancellations, interpreter replacements, schedule changes, and other unexpected situations.
- Communicate professionally and promptly with interpreters, clients, and internal team members.
- Collaborate with Project Management, Operations, Finance, Recruiting, and other departments as needed.
Requisitos
Requirements
- 3+ years of professional experience in interpreting coordination, language services project management, interpreter scheduling, interpreting operations, or a closely related role.
- Demonstrated experience scheduling and coordinating interpreters within a professional language services environment.
- Hands-on experience with ScheduleInterpreter® is strongly preferred; experience with a comparable interpreter scheduling or language services management platform is also valuable.
- Experience recruiting, sourcing, and maintaining relationships with freelance interpreters and language professionals.
- Experience reviewing interpreter/vendor invoices and supporting service documentation.
- Strong understanding of interpreting operations and the lifecycle of an interpreting assignment.
- Professional working proficiency in English, both written and spoken. The role involves frequent communication in English with clients, interpreters, and internal teams, including time-sensitive and challenging situations.
- Excellent written communication skills and a strong professional communication style.
- Strong organizational skills and exceptional attention to detail.
- Ability to independently manage multiple assignments, deadlines, priorities, and last-minute changes.
- Strong problem-solving skills and the ability to take initiative.
- Reliable high-speed internet access and the technology required to work remotely.

- Consecutive interpreting
- Experience supporting interpreting programs in government, education, legal, healthcare, corporate, or conference environments.
