The Vendor Coordinator plays a key role in expanding and maintaining the company’s network of interpreters and translators. This position is responsible for conducting outreach to potential vendors, reviewing candidate qualifications, coordinating interviews, managing vendor documentation, and maintaining accurate data in internal systems.

This is an entry-level to early-career position, ideal for someone with strong communication skills, attention to detail, and an interest in recruitment, linguistics, or operations.

Responsibilities:

Vendor Recruitment & Outreach

  • Conduct proactive outreach to interpreters and translators through job boards, online platforms, and referrals.
  • Respond to vendor inquiries and guide them through the onboarding process.
  • Present the company professionally to potential candidates and communicate company expectations.

Candidate Screening & Interviews

  • Review resumes and profiles to assess qualifications, certifications, and experience.
  • Schedule and conduct initial interviews with potential vendors.
  • Evaluate communication skills, professionalism, and suitability for the company’s standards.
  • Maintain consistent follow-up and timely communication throughout the hiring pipeline.

Data & Documentation Management

  • Collect, verify, and organize vendor documentation (certifications, agreements, W9s, etc.).
  • Maintain accurate records in internal systems.
  • Ensure compliance with company policies and legal standards for vendor documentation.

Coordination & Support

  • Collaborate with internal teams (Translation, Scheduling, HR) to ensure smooth onboarding.
  • Support periodic vendor evaluations and updates to active vendor lists.
  • Assist in maintaining metrics and reports related to vendor recruitment and engagement.

Requisitos

Requirements:

  • Experience in the language services industry (interpreting, translation, localization).
  • Bachelor’s degree (or equivalent experience) in HR, Linguistics, or a related field.
  • 1–2 years of experience in coordination, recruitment, or administrative support.
  • Strong organizational and data management skills.
  • Excellent written and verbal communication.
  • Proficiency with Microsoft Office and/or Google Workspace.
  • Ability to handle confidential information with discretion.

Preferred

  • Experience with Interpreter Intelligence scheduling software.
  • Familiarity with vendor management or applicant tracking systems.
