We are looking for a temporary Administrative Assistant to join our team!
The Administrative Assistant will play a key supporting role within our dynamic association, providing essential operational and administrative assistance. This position will contribute to the smooth daily functioning of the organization, ensuring efficient support for the Executive Assistant and other team members, allowing them to focus on strategic initiatives.
Working Hours: Monday-Friday 8 to 5 ET
Responsibilities:
- Calendar and Scheduling Support: Assist in maintaining the organization´s general calendar, including scheduling routine meetings and appointments for staff and general coordination.
- Communication Support: Manage incoming and outgoing general correspondence, including sorting and triaging mail and maintaining email and other address directories.
Member Support & Coordination:
- Support the new member intake process by assisting with documentation and initial communications.
- Help coordinate activities and communication for the company’s various Committees, facilitating information flow.
Document and Information Management:
- Maintain organized paper and electronic filing systems, ensuring easy access to important documents.
- Assist with routine updates to information on the company’s websites as directed.
- Ensure the confidentiality and proper handling of sensitive information.
- Financial Administration Support: Assist with the preparation, reconciliation, and submission of routine expense reports.
- Meeting Support: Attend designated meetings to take comprehensive notes, such as provide assistance in preparing initial drafts of summaries or basic minutes.
- General Administrative Support: Routinely perform a variety of general support duties to ensure efficient office operations.
- Project Assistance: Provide administrative support for various projects and programs, including data entry, scheduling, and communication follow-ups.
- Other Duties: Perform additional administrative and/or alternative duties as assigned, including supporting other departments or executives with basic tasks as needed.
Requisitos
Requirements:
- Availability to cover a 6-month contract (initially).
- Proven experience in an administrative support role, ideally within an association or professional services environment.
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and willingness to learn new software.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Proactive and resourceful with a strong sense of responsibility.
- Ability to handle confidential information with discretion.
This role may require occasional travel to support the company’s events, typically once a year, in a location in the United States.
